TERMS & CONDITIONS
1. BOOKING & PAYMENT
A 20% booking fee is required to secure your wedding date with MemoryBoxFilms.
Your booking is only confirmed once we have received the booking fee and the booking agreement has been signed.
The booking fee is paid to reserve your date exclusively for you and is non-refundable, subject to your statutory rights and the cancellation terms set out below.
The remaining balance must be paid in full 4 weeks before your wedding date.
Your date is not considered fully secured until both the signed agreement and booking fee have been received.
2. CANCELLATION BY THE CLIENT
If you need to cancel your booking, you must notify MemoryBoxFilms in writing as soon as possible.
Because we reserve your wedding date exclusively for you and turn away other enquiries for that date, a cancellation may result in us losing the opportunity to book another wedding.
Our cancellation charges are therefore based on how close the cancellation is to the wedding date and the likely loss to MemoryBoxFilms.
Cancellation charges:
More than 12 months before the wedding: 20% of the total booking value
6 months before the wedding: 40% of the total booking value
3 months before the wedding: 60% of the total booking value
Less than 30 days before the wedding: 100% of the total booking value
Any amount already paid will be credited against the applicable cancellation charge.
Where possible, MemoryBoxFilms will take reasonable steps to re-book the cancelled date. If the date is successfully re-booked, the cancellation charge will be refunded.
3. RESCHEDULING
We understand that sometimes plans change.
If you need to move your wedding to a different date, we'll always do our best to accommodate you.
A date change is subject to our availability and is not guaranteed.
If we are available for your new date, your booking can be transferred to the new date. Where the new date falls in a different calendar year, a £500 rescheduling fee will apply.
If we are unavailable for the new date, this will be treated as a cancellation of the original booking and the cancellation terms above will apply.
4. WHAT WE WILL CAPTURE
Our coverage is based on our professional experience and creative judgement.
We will make every reasonable effort to capture the important moments of your wedding day, but we cannot guarantee that any particular person, moment, interaction or shot will appear in the final film.
Our filming may be affected by circumstances outside our control, including weather, venue restrictions, lighting conditions, guest interference, accidents, timings, delays or other unforeseen circumstances.
We will always work to capture the best possible footage within the circumstances of the day.
5. CEREMONY & VENUE PERMISSION
The Client is responsible for ensuring that MemoryBoxFilms is permitted to film at the wedding venue and during the ceremony.
Any restrictions imposed by the venue, registrar, celebrant, church or other third party may affect the filming.
Where restrictions prevent us from filming certain parts of the day, we cannot be held responsible for footage that we were not permitted to capture.
6. LIGHTING & FILMING CONDITIONS
We aim to remain as discreet as possible throughout your wedding.
However, certain venues or lighting conditions may require additional camera-mounted or free-standing lighting to ensure the best possible image quality.
Our filming style and camera positions will be determined by the conditions of the venue and our professional judgement on the day.
7. EDITING & CREATIVE CONTROL
MemoryBoxFilms retains creative control over the final edit.
We will take into account any reasonable preferences or special requests discussed and agreed before editing begins.
However, the final selection of footage, music, pacing, colour, structure and overall style of the film remain at the discretion of MemoryBoxFilms.
We cannot guarantee that every requested moment will appear in the final film.
If you have any specific footage that you do not want included, this must be communicated to us before editing begins.
8. FILM DELIVERY
Your finished wedding film will normally be completed within 12–16 weeks of your wedding date.
Where a Next Day Teaser has been purchased, this will be delivered the day after the wedding, subject to the footage being successfully captured and no unforeseen technical circumstances.
Films are delivered digitally through a private online gallery.
MemoryBoxFilms will retain a master copy of your final film for up to two years from the date of delivery.
We strongly recommend that clients download and keep their own copy of their finished film.
9. CHANGES AFTER DELIVERY
The final film is supplied as the completed creative edit agreed under your booking.
Minor technical corrections resulting from an error on our part will be dealt with at no additional cost.
Requests to substantially re-edit or alter the finished film after delivery may incur an additional editing fee, depending on the work required.
Additional copies or physical media, where available, may incur an additional charge.
10. TRAVEL & DESTINATION WEDDINGS
MemoryBoxFilms is based in Liverpool and regularly travels throughout the North West, across the UK and internationally.
For weddings outside our standard service area, a travel and accommodation fee will apply.
Where appropriate, this will cover reasonable travel, parking, tolls and overnight accommodation required for the booking.
Any travel and accommodation costs will be confirmed with you before booking and will form part of your total booking price.
For destination weddings, travel arrangements and accommodation requirements will be agreed separately as part of the booking.
11. EQUIPMENT FAILURE
We use professional, well-maintained equipment and take reasonable precautions to protect your footage.
However, technical or equipment failure can occur despite these precautions.
Where a complete or substantial loss of footage occurs due to circumstances genuinely beyond our reasonable control, our liability will be limited to the amount paid by the Client for the affected service, subject to applicable law.
12. FORCE MAJEURE
MemoryBoxFilms will not be responsible for failure or delay in providing the service where this is caused by circumstances beyond our reasonable control.
This may include serious illness, accident, extreme weather, natural disaster, government restrictions, venue closure, transport disruption or other circumstances that make attendance impossible or unsafe.
Where MemoryBoxFilms is unable to attend your wedding, we will make reasonable efforts to arrange a suitable replacement professional, where appropriate and agreed with you.
If the service cannot reasonably be provided, any refund will be dealt with in accordance with your statutory rights and the circumstances of the cancellation.
13. CLIENT RESPONSIBILITIES
The Client is responsible for providing accurate wedding details, including the wedding date, venue, timings and any relevant restrictions that may affect filming.
The Client should inform MemoryBoxFilms of any important changes to the wedding arrangements as soon as reasonably possible.
14. AGREEMENT
By signing the booking agreement and paying the booking fee, the Client confirms that they have read, understood and agreed to these Terms & Conditions.
These Terms & Conditions, together with the booking agreement and agreed booking details, form the contract between the Client and MemoryBoxFilms.

MemoryBoxFilms Terms & Conditions:
A 20% non-refundable deposit is required to secure the date of your wedding.
The remaining balance must be cleared 4 weeks before your wedding date.
The customer has given full responsibility to Memory Box Films to edit and style their wedding film, built around their special requests. Whilst our team will try to get the best footage possible, in rare occasions this may be restricted due to weather conditions, accidents, interference from guests etc.
Travel & Accommodation
For events held outside of our standard service area, a flat fee of £350 will be added to the total balance to cover travel and, where required due to distance or timing, overnight accommodation. This fee is fixed and non-negotiable unless otherwise agreed in writing.
Cancellations: If the customer chooses to cancel the booking at any time notice must be given to Memory Box Films immediately.
Cancellation charges will be the non-refunded deposit.
In the unforeseen circumstances that Memory Box Films are unable to attend your wedding, a full refund will be given to the customer.
If the customer wishes to reschedule their wedding date to a new calendar year an additional £100 fee will be added to your wedding booking. If Memory Box Films are unavailable for the rescheduled wedding date, then the non-refundable deposit still applies.
The Client(s) must obtain permission for Memory Box Films to film during the marriage ceremony and any other venue where filming will be required.
We aim to be discreet whilst filming but in low light conditions additional camera-mounted or free-standing lighting may be required.
Memory Box Films coverage will be as the videographer’s professional expertise determines and no one scene will be determined more important than another. Every effort will be made to get the best position for the camera(s) to film the event this may not always be possible if restrictions are imposed upon us on the day.
We use quality and well-conditioned equipment however, we will not be liable for any equipment failure and or material defects, which are beyond our control. In the unlikely event of a total video failure our liabilities are limited to a full refund.
Every effort is made to ensure perfect colour and lighting reproduction, but certain conditions may not be as accurate such as mixed indoor and external lighting, hard shadows, and low lighting conditions. With these factors beyond our control, we will produce the best image possible. If something occurred at the wedding that the Client does not want to appear on the final film, the Client must instruct Memory Box Films before editing begins.
Memory Box Films will build your film around any special requests made within this booking.
Any final editing decisions are of the sole discretion of Memory Box Films.
Any changes requested on the final copy once sent out will be re-edited and may have further charges.
Additional copies will be supplied if requested at an additional cost. Full completion is usually within 8-12 weeks from the date of the event.
We keep a master copy of your film in our archives for up to two years. You may order additional copies within this period as required. If you wish to order additional copies after two years, we cannot guarantee that the master will be available.

I hereby warrant that I am competent to
contract my name. I confirm that I have read
the herein agreement prior to its execution
and I am fully familiar with the contents
thereof. I warrant that I have the authority to
sign on behalf of myself as well as those
involved in this booking. This agreement
shall be binding upon me and my heirs, legal
representatives and assigns.
